The scanned warehouse workflow

Receiving. The delivery lands against a purchase order; each line is scanned, quantities rise on the record as they land, and price variance is caught at the dock — the bench never becomes a backlog of unposted boxes.

Picking. The pick list lives in the same record; scanning the item (or the bin, then the item) validates the line — wrong item, wrong bin, wrong quantity are refused at the shelf. Multi-order picking stops relying on the picker's memory.

Counting. Cycle counts run by aisle from a phone: a thousand lines in an afternoon is normal, variances post as auditable adjustments, and no weekend freeze is needed.

What the software behind the scanner must do

The scanner is the cheap part. The software must: post every scan as a transaction with a user and timestamp; hold live quantities so picks confirm against what actually exists (including stock already promised); run counts that adjust deliberately with an audit trail; and connect the movements to purchasing and invoicing so the shelf and the books agree. If scanning feeds a separate list that someone reconciles later, you have added a step, not removed one.

That connection is also why scanning is worth doing at all: the benefit is not keystrokes saved at the scanner — it is the disappearance of the error class where a human mis-reads a code and the mistake surfaces weeks later at a count or a customer. Frequently Asked Questions

Do we need dedicated scanners for the warehouse?

Not to start — any modern phone browser reads standard barcodes. Dedicated units earn their keep at a receiving bench or fast pick faces where speed and durability pay. Both can feed the same record; the record matters more than the reader.

Will scanning work without wi-fi everywhere?

Cloud scanning needs connectivity, so dead zones matter. Test your actual corners during a trial rather than trusting a datasheet, and ask any vendor directly how offline scans sync — the honest answers are specific.

Is BSimple a WMS?

No — it is the inventory record the warehouse works from: live quantities, purchasing, orders, scanning and invoicing on one dataset. Bin-level optimisation, directed put-away and wave picking are WMS territory, and we do not claim them.
