The build that works on Sheets
Tab 1 — Products. SKU, description, supplier, cost, par level — one row per item, edited deliberately. Tab 2 — Movements. Date, SKU, direction, quantity, reason, who — append-only, the tab everyone actually writes to. Quantities derived by formula from the movements (SUMIFS per SKU), never typed. Protect everything except the movements rows. Count monthly, variances investigated, corrections entered as adjustment rows.
That structure is a genuine stock system at small scale — the same movement-first architecture real software uses (the Excel build is its sibling), with Sheets' sharing making it available to the whole team from any device. For one or two disciplined people at moderate volume, it is a legitimate answer, and no honest vendor will pretend otherwise.
The boundaries — what Sheets cannot do by definition
No enforcement. Protection is a suggestion; nothing stops a quantity being typed over, a movement logged to the wrong SKU, or the formula being "fixed" by a helpful colleague. The record stays honest only while discipline holds.
No floor. Scanning needs a system at the shelf to scan into — a scanner types into a focused cell, which means a laptop at a desk, not the stockroom floor (the scanning gap). Movements get batch-entered from clipboards, and batch-entry is where the day's truth decays.
No management. Reordering is a human running filters weekly; order checking is a human comparing tabs; supplier reconciliation is a human with a cup of coffee and low expectations. Sheets records; it cannot act. The recording-versus-managing line is exactly this boundary.
