How to judge a downloadable template in two minutes

Open the file and find where quantities live. If there is a "Quantity on Hand" column that users type into — close the tab. That template is the most popular and the least sound: every correction is an overwrite, every variance unexplainable, and the record drifts from the shelf the first busy week. If quantities derive from a movements or transactions sheet — the template author has done real thinking, and the file is worth your afternoon. Then check three practicalities: does it protect the formula cells; does it survive a second user (cloud-shared or single-file); and does it export cleanly (plain tables, not merged-cell art). The structure that works — build or fix

Sheet 1 — Products. One row per item: SKU, description, supplier, cost, par level. Deliberately edited, never in passing.

Sheet 2 — Movements. One row per event: date, SKU, in/out, quantity, reason, who. Append-only — the discipline that carries the whole system.

Derived quantities. On-hand = sum of movements, by formula. Protect everything except the movements rows.

A monthly count. Real count, variances investigated, corrections entered as adjustment rows with reasons — not typed over the derived number. The count discipline is what keeps any record honest, spreadsheet or not.
