Small business job management software

A job is a promise that consumes stock: items reserved, van loaded, install done, invoice approved. Here is how BSimple carries jobs on the same record as inventory — reserved, consumed, and remembered.

The key facts

  • The job problem: stock promised to a job must vanish from availability — but not disappear if the job slips.
  • BSimple projects: reserve items against a customer job without consuming stock; consume on invoice approval.
  • Lifetime record per job: what was installed, when, plus warranty/maintenance/service history for on-site assets.
  • Same record as everything: invoicing to Xero or MYOB, purchasing, portal — plans from $180/month (AUD), free to trial.

The job management problem, stated plainly

Most small-business job tools handle the calendar and the paperwork — schedule the crew, send the quote, store the photos. Useful, and not the hard part. The hard part is the stock: the items a job needs are promised to that job, but they are still on the shelf until the van loads. Software that cannot represent "reserved" either sells the same heat pump twice or deducts it weeks early, and both failures land on someone's phone as an apology.

The second hard part is memory. A gate installer who fitted forty systems this year cannot answer, from a folder of PDFs, which motor is inside number thirty-one, or what was serviced when. Jobs produce assets, and assets outlive the job.

How BSimple carries a job

In BSimple, a job is a project grouped under the customer. The flow:

  • Reserve. Items are reserved against the project without consuming warehouse stock — availability for everyone else stays honest, and the reservation is visible before the van is loaded.
  • Install and consume. When the job is approved and invoiced, the reserved items are consumed on the record — one transaction, not a cleanup job.
  • Remember. The project keeps its lifetime history: what was installed, batches and assets involved, warranty and maintenance events, service visits. A boom-gate installation is the typical shape: installed once, serviced for years, and every question about it answered from the record.
  • Invoice. Approval produces the invoice, which pushes to Xero or MYOB with payment status mirroring back — the job, the stock and the money on one chain.

The features overview shows how projects sit with inventory and the portal; the small-business project guide covers the broader project-tooling landscape; the inventory management guide is the record underneath.

When BSimple is the right fit — and when it is not

We build BSimple, so weigh that. It fits trade and installation businesses whose jobs consume stock and create assets: gates, HVAC, solar, fitouts, equipment installs — businesses that need the reservation-to-consumption flow, lifetime asset history, and invoicing in the same system, from $180/month (AUD). The honest test is the job itself: reserve one real job's items, approve it, and read the history back during the trial.

The boundaries are equally plain: BSimple is not a scheduling tool — crew calendars and route planning belong to dedicated field-service apps, and we do not claim them. There is no HR or payroll. If scheduling is the whole problem, start there; if the job's stock, assets and invoice keep disagreeing, that is the record, and the record is what BSimple runs. Construction-flavoured jobbing has its own guide at project management for small construction business.

Frequently Asked Questions

Does BSimple handle scheduling and dispatch?

No — crew calendars and route scheduling are field-service territory, and BSimple does not claim them. What it handles is the job's record: reserved stock, consumption on invoice approval, and lifetime asset and service history per job.

How does reserving stock for a job work?

Items are reserved against the project without consuming warehouse stock, so availability stays honest for everyone else. On invoice approval the reservation converts to consumption — one transaction, with the audit trail behind it.

Can we track installed assets after the job?

Yes — that is the projects design: each job keeps its installed items, batches and service history under the customer, so warranty questions and maintenance visits read from the record rather than from folders of paperwork.

What does BSimple cost for job management?

Projects are part of the core product — no separate module price. Plans start at $180/month (AUD), invoicing to Xero or MYOB included, and the free trial runs a real job from reservation to invoice before you decide.
