What "free" covers — and what it never covers

The honest free option is a spreadsheet: item, quantity, batch, expiry, one maintainer. It works while volume is low and one person owns the record. It fails at exactly the things pharmacy stock cannot afford — two people editing, expiry checks that depend on memory, and recalls that require reconstructing movements by hand.

Free tiers of inventory tools add search and mobile counts with caps. • Purchasing from demand. Reorder levels that raise supplier orders, with goods receipts updating the record and price variance caught before payment.
• Counts that do not close the pharmacy. Cycle counts by section, variances adjusted deliberately, audit trail intact.
• The money boundary handled. Approved invoices to Xero or MYOB, GST handled by the accounting system.
