Guide / stock to invoice

Inventory and invoicing on one record

The invoice is where stock becomes money — so it should carry the same numbers the warehouse picked, not a re-keyed copy. Here is what that wiring looks like, honestly.

The short answer

  • The seam between inventory and invoicing is where businesses leak money — quantities picked that never became invoices, invoices that re-key stale numbers.
  • One record fixes it: the invoice is generated from the order the warehouse picked, not typed beside it.
  • Approval before send, and payment status mirrored back from the accounting system — paid and voided flow the other way too.
  • BSimple wires exactly this — pick/pack to invoice on one record, accounting handed to Xero or MYOB, from $180/month (AUD).

What breaks when the two are separate

Inventory tools without invoicing push their output to documents made elsewhere: someone reads the pick list and types an invoice in the accounting system, or in a second tool. Three leaks follow. Quantity drift — the invoice says ten because the order said ten, though nine shipped; nobody's record catches it. Timing gaps — goods leave in the morning, invoices appear next week, and revenue recognition lags operations. Status blindness — the warehouse does not know what was paid, so credit holds and release decisions run on guesses.

None of these are discipline failures; they are the arithmetic of two records. The fix is structural: pick, pack and invoice as steps on the same document trail, with stock updating at each step. The order management overview walks that document trail end to end.

What the wired version looks like

In BSimple: an order allocates from live stock; picking and packing run against the order, so the packed quantity is known; the invoice is created from that record and enters an approval workflow — reviewed, then sent. From there the accounting handoff carries it: approved invoices push to Xero or MYOB with their line and tax detail, and payment status — paid, voided — mirrors back so the operations side sees money the moment the accountant's ledger does. Partial shipments and credits flow through the same trail instead of becoming side conversations.

The boundary worth stating: BSimple does not replace the accounting system. Compliance, BAS and the ledger stay in Xero, MYOB or (rolling out) US systems — the invoice is the reviewed bridge, not a second ledger. Does Xero have inventory management covers the division from the accounting side.

Where BSimple fits

We build BSimple, so weigh that. It is business management software for small-to-medium wholesale, manufacturing, distribution and trade businesses where stock and invoicing are the same record: the customer ordering portal feeds orders in, purchasing feeds stock in, and the invoice that leaves is the data the warehouse acted on. Plans start at $180/month (AUD), and the free trial lets you run one real order from allocation to approved invoice.

For the accounting-handoff detail, the best-inventory-for-Xero guide lists exactly what pushes and what mirrors back; the inventory management overview shows the record the whole loop runs on.

Frequently Asked Questions

Can I keep invoicing in Xero and use BSimple for stock?

Yes — and that is the design. BSimple holds stock, orders and the invoice draft through approval; the approved invoice pushes to Xero, which stays the financial record. What you should not do is maintain two independent invoice streams — pick one path for customer invoices and let the other system mirror it.

How does payment status get back into BSimple?

Through the mirroring: when Xero or MYOB marks an invoice paid or voided, BSimple reflects the same status. Staff chasing payments, releasing held orders or planning deliveries work from the money truth without opening the accounting system.

What happens with partial shipments?

They run on the same record: pick what shipped, invoice what shipped, and the order shows what remains. That is one of the exception tests worth running in any demo — a system that cannot show a partial shipment cleanly is two records wearing a trench coat.

Does invoicing in BSimple handle GST?

Invoices carry their tax treatment into the accounting system, and the purchasing side reconciles supplier invoices with GST-inc and ex-GST views. The tax-code model extends beyond GST where needed. The BAS itself stays where it belongs — in the accounting system.
